PCEF is Seeking A Part-Time Development Coordinator/Database Specialist

PARK CITY EDUCATION FOUNDATION IS SEEKING 
A PART-TIME DEVELOPMENT COORDINATOR/DATABASE SPECIALIST 

For over 30 years, the Park City Education Foundation (PCEF) has funded and supported educator-powered initiatives that inspire all Park City students to reach their academic and lifelong potential. We do this by infusing $1.5 million annually into the Park City School District to support eight initiatives: Preschool, Elementary Visual Arts, Afterschool, Educator and Student Wellness, Real-World Learning, Bright Futures (a program that supports first-generation college students), Classroom and Express grants that support educators, and Innovation Lab (an incubator to workshop concepts that shape education). 

POSITION SUMMARY 

As a key member of the Park City Education Foundation team, the part-time Development Coordinator will play an integral role in supporting all Advancement activities, including managing the database, donor management and correspondence, and working on events. This position will report to the Vice President of Advancement and will contribute to a high-functioning nonprofit organization. 

  • Salary: Non-exempt and hourly rate of $22 
  • Hours: .625 FTE (25 hours per week)

GENERAL PURPOSE 

Under the Vice President of Advancement's direct supervision and guidance, perform database management duties, including gift and donor data entry, reporting, and analysis of donations through various platforms, including Salesforce. 


ESSENTIAL DUTIES & RESPONSIBILITIES 

  • Gift Processing: Process all gifts and receipt acknowledgments, including credit cards, checks, cash, online donations, pledges and gifts-in-kind. Ensure data integrity through accurate database entry and ongoing database maintenance in platforms such as Salesforce, Constant Contact, and Greater Giving. 
  • Gift Acknowledgement: Generate and track acknowledgment and tribute letters. Work with the Development team on acknowledgments, pledges, and all record-keeping related to our major gift campaign, endowment, events, and ongoing fundraising. 
  • Donor Lists and Segmentation: Manage donor segmentation, lists, and segment analytics. Coordinate with the Development team on generating all mailing lists; including renewals, invitations, mail merges, email and direct mail, ensuring accurate list management and reporting.
  • Event and Campaign Logistics: Maintain all event and campaign-related data, ensuring accurate record-keeping and monthly reconciliations. Assist with event processing of online payments and RSVPs. Work closely as a member of the Development Team to support events, organizational initiatives, and outreach. 
  • Reporting: Utilize Salesforce and other PCEF data tracking systems to ensure accurate and timely reporting of key metrics as needed. Assist the Development and Finance Team with assembling and submitting monthly, quarterly, semi-annual, annual, and ad hoc reports for public and private grants. 
  • Matching Gifts: Manage matching gift outreach and follow up 
  • Donor Interface: Help PCEF maintain the trust of our donors, volunteers, and the public by ensuring adherence to accounting guidelines and processes regarding donation and payment processing. 
  • Adhere to all policies and procedures stated in the Employee Handbook and any applicable Policy and Procedure Manual 
  • Reconcile development revenue with the Accounting Team on a monthly basis. 

MARGINAL DUTIES & RESPONSIBILITIES 

  • Perform other functions as necessary or as assigned. 
  • Occasional evening and weekend work is required.

Interact and communicate professionally and effectively with all employees, management, executives, donors, vendors, service users, and community partners. 

TRAINING & QUALIFICATIONS

  • Bachelor’s Degree and/or equivalent combination of education and experience.
  • Experience in gift and donor data entry, data management, and reporting; experience in Salesforce preferred. 
  • At least one year’s experience in administrative work, financial/bookkeeping support, donor database/CRM systems, or a similar role.  
  • Technologically proficient with intermediate skills in Google Suite and MS Office products: Word, Excel, and PowerPoint. 
  • Strong attention to detail and understanding that clean data is key to the success of development and fundraising initiatives. 
  • Ability to review and analyze data to inform the creation and execution of data-driven strategic plans that generate strong outcomes. 
  • Exceptional time-management, planning, and administrative skills.
  • Highly organized, self-directed, and able to work independently while being flexible in a fast-paced, collaborative, and evolving environment.  
  • Strong work ethic with a professional, positive attitude. 
  • Commitment to achieving the organization's mission and strategic goals and objectives.

  • Work is generally performed in an office environment. While performing the duties of this job, the employee is regularly required to sit for long periods of time, use a computer to enter data, and converse with customers and employees on the telephone. 
  • The employee is regularly required to perform repetitive wrist, hand, and/or finger movements, feel the attributes of objects, grasp, push, and reach with arms or hands.
  • Must be able to occasionally move objects of up to 30 lbs.
